Templates and Consistency

Have you ever opened a file and it takes you 10 minutes to figure out where the information is that you need? We at Aldridge Kerr recommend that written communication be consistent so that we can find information more easily. In fact, we encourage our Clients to build templates on the various types of documentation they use.

These templates at minimum should include:

  • Email communication
  • Process documentation
  • Appendixes
  • User’s Guides and other training material

Why are templates valuable? They allow the Users to find information more quickly. They provide a structure for documenting like-kinds of information. Also, they create the consistency that is one of the building blocks of operational effectiveness.

Standardizing

As we continue our discussions around consistency and how it helps an organization to build operational effectiveness, let us be reminded of the power of standardizing information. Standards reduce confusion, create clarity for Staff and Clients, and provide a consistency way to do business.

Standards are needed for terms, phrases, formats, and communication. Without them, folks waste a lot of time trying to figure out expectations, what is being communicated, and so much more. By using standardized, consistent information, organizations can concentrate on what is most important instead of getting caught up in what is being communicated.

Building Repeatable Processes

In our most recent newsletter consistency was identified as a building block of operational effectiveness. When implementing consistency within an organization, there are a multitude of advantages; one is building repeatable processes.

What are repeatable processes? They are a series of tasks that are easily duplicated. Forbes.com says that they are something every Business Leader and Entrepreneur should consider a priority.

Here are some hints on how to build repeatable processes:

  • Determine those processes that would most benefit from establishing a consistent method to perform the tasks. We at Aldridge Kerr recommend you start with your Critical Processes.
  • Document what you believe is a good repeatable process; then try it out.
  • Evaluate what works well and does not work well.
  • Incorporate this new and approved process into your organization.
