Here are some suggested next steps:
• Document your existing process for each of the Top Ten. This will enable you to identify inconsistencies, inefficiencies, and areas for improvement. Plus, you will now have the process documented for reference and training, even if there are issues that need to be improved.
• Assess the documented, existing process. Ask these questions as you review it:
• Are the tasks within the process being performed consistently?
• Are the most appropriate folks performing the tasks?
• Are there Tools that could enhance the process? This could be reports, software solutions, etc.
• Are there tasks within the process that just don’t make sense to do? EXAMPLE: Stapling documents together that will later be unstapled (don’t laugh; this is a common error folks make!).
• Are there risks related to the method that tasks are being performed?
• How is the process monitored and validated to provide oversight?
• Optimize the existing process based on the assessment. Be sure to “test” the changes to the process before making it the new process. Include establishing controls to mitigate the identified risks and establish business metrics to provide oversight.
• Document the new process and train relevant Staff. In many cases, the documentation created previously can simply be enhanced. Until Staff understands and is trained on how to perform the new process, it cannot create improvements.
By focusing on your Top Ten, you will begin to see improvements and position your organization for operational effectiveness.
